Job Summary
Review and monitor the implementation of the procurement cycle policy and guidelines for the timely availability of quality goods, works, and services at the most competitive prices in line with Baylor Foundation-Uganda’s mission.
Overall Responsibilities
Carry out market surveys under the guidance of the Procurement Manager in line with Baylor Foundation-Uganda policy guidelines.
Organize the relevant information/documents to be used in both the Evaluation and Contracts Committee meetings, then take and file minutes as required by Baylor Foundation-Uganda procurement guidelines.
Keep and update procurement records on a quarterly basis relating to suppliers, different user department procurement needs, and approved contracts as required by Baylor Foundation-Uganda procurement guidelines.
Receive, record, and distribute incoming mails in the Procurement unit in line with Baylor Foundation-Uganda procurement guidelines.
Make follow-ups of supplies to be delivered within the stipulated delivery period according to the terms of the order/contract/agreement, and give feedback to users regarding the progress of their requisitions in line with Baylor Foundation-Uganda procurement guidelines.
Provide technical support to user departments in specification development and contract management in line with Baylor Foundation-Uganda procurement policy guidelines.
Prepare Purchase Order documentation and contracts for goods, services, and works in accordance with Baylor Foundation-Uganda procurement guidelines.
Establish and document the supplier’s service delivery based on user remarks for future reference. Prepare documents for payments to suppliers and verify user inputs as per the procurement manual.
Required Qualification, Experience, and Competencies
- A University degree in Procurement, Logistics, Supply Chain Management, Economics, Business Administration (Procurement), or Professional Qualifications (e.g., CIPS, CILT, IPPU).
- 3-5 years of relevant experience.
