After six years of operation, Zembo is the most experienced African provider of electric motorcycles and battery swaps on the continent. About the Role:
The Administrative Officer at Zembo is responsible for ensuring the smooth operation of the front desk and office management, providing support for administrative, HR, and finance tasks, and offering executive assistant support to the CEO. This role requires a highly organized and detail-oriented individual with excellent communication and multitasking skills to support Zembo’s mission in transitioning to electric mobility in Africa.

Key Responsibilities:
Front Desk Management:
• Greet and assist visitors, ensuring a welcoming and professional front desk environment.
• Handle org-wide emailing lists and coordinate responses with the relevant parties
• Maintain the front desk area, ensuring it is clean and presentable at all times.
• Lead visitor management and create processes to address planned and walk-in visitors
• Liaise with the security firms to oversee office security and ensure all security SLAs are followed

Office Management:
• Oversee general office operations and cleanliness, including supplies management, equipment maintenance, and facility upkeep.
• Office Vendor management. Mange the relationship with key vendors like the cleaning company, lunch supplier, security company. etc.
• Coordinate office activities and culture/team building events to foster a positive work environment.

Administrative Support:
• Assist in the preparation of reports, presentations, and other documents as needed.
• Maintain organized and up-to-date filing systems for all administrative records.
• Handle incoming and outgoing mail, ensuring timely and accurate distribution.
• Process work permits for key staff when needed
• Book flights and manage overall travel expenses

HR Support:
• Assist with recruitment processes, including posting job openings, scheduling interviews, and coordinating communication with candidates.
• Support new employee onboarding, including preparing onboarding materials and conducting orientations.
• Maintain employee records and assist with HR documentation and compliance.
• Coordinate trainings

Executive Support:
• Support to the CEO with repetitive tasks like managing calendars, scheduling meetings, and any other things he may need
• Prepare meeting agendas, take minutes, and follow up on action items.
• Handle confidential and sensitive information with discretion.

Qualifications:
• Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
• Proven experience as an administrative officer, office manager, or similar role.
• Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
• Ability to work independently and as part of a team.
• High level of professionalism and confidentiality.
